About the Role

We are seeking a dynamic Administration Coordinator to join our Facilities Management team. The position is the nominated champion of facilities management administration responsibilities for the organisation. The role promotes the use and benefits of the organisation’s preferred facilities management solutions across the portfolio.

 Reporting to the Head of Facilities, key responsibilities for the role include:

  • Facilities Management Application Software – Daily monitoring of the work order system and working as part of the team to assign maintenance to contractors / services providers.
  • Service Request Response – Represent the Facilities team as the first receiver for all MTC’s service requests via the facilities management application software and telephone.
  • Record and Document Administration – Work closely with the Head of Facilities to request, collate, and maintain operational policies, procedures, records, systems, and administrative documents as required for efficient operations and to ensure external vendors are adhering to legislative obligation as well as MTC’s policies, and procedures.
  • Maintenance Works Coordination – Work in consultation with the Facilities Lead to coordinate available internal and external resources where suitable to deliver timely and effective maintenance work with minimal disruption and professional outcomes.
  • External Contractor Coordination – Gather and maintain documentation for external vendors to make sure they meet MTC compliance requirements.

About You

To be successful in this role you must have:

  • 2+ years of experience in a similar role within a professional services firm, commercial building management firm, leasing, or educational campus but not required.
  • Ability to consult with the facilities team and apply appropriate decision making to ensure MTC provides a safe and compliant environment and ability to make appropriate decisions to ensure a compliant environment.
  • Understanding of Quality Management Systems, Standards, Codes, Regulations, Rules, Policies, Procedures, and their application.
  • Understanding of accounts receivable and payable, processing of invoices.
  • Well-developed coordination and negotiation skills to achieve desired outcomes.
  • Effective written and verbal communication and interpersonal skills
  • Strong computer, administration and customer service skills.
