Administrative Assistant


Primary Objectives:

  • Work closely with front-line field staff and managers to assist and support in all areas of back-office administrative duties
  • Provide quality service to internal & external customers.
  • Maintain professionalism & prioritize workloads effectively.


Position Accountabilities and Responsibilities:

  • Data entry to ensure accurate invoicing.
  • Assist in preparing monthly claims.
  • Develop, build, manage, and maintain maintenance works job tracking software.
  • Track maintenance activities through developed systems.
  • Develop and maintain a filing system.
  • Prepare reports and associated documents for clients and internal review.
  • Liaise with subcontractors, suppliers, and clients' representatives.
  • Act as the first point of contact for internal and external customer enquiries for project-related information and data.
  • Assist in procurement.
  • Prepare sales quotations and sales order entries.
  • Provide sales support to other product business units as required.

 

Candidate Requirements:

  • Minimum 2 years of experience with administration duties.
  • Excellent organizational skills.
  • Understanding of workplace health and safety in the construction industry.
  • Exceptional people handling skills.
  • Thorough understanding of English written and general business terminology.
  • Ability to liaise with suppliers and customers.
  • Ability to communicate at all levels of the organization, both internally and externally.
  • Ability to prioritize duties, analyze problems, and apply solutions.
  • Self-motivated, positive, and business-oriented.
  • Disciplined self-starter.
  • High levels of ethical behaviour.
  • Computer literate with excellent understanding of MS Excel and Word.
